So Shaun and I (Patrick) went to the Brass Taps today to get some more information on hosting a fundraising event at Taps.
The manager was very nice and gave us a lot of useful information about hosting something there.
Long and short, he said that it would probably be easier to do something at the start of the W10 semester (i.e. first week), simply because it would give us more publicity time for the event. There are also dates this semester near the end of Novemeber. The event can be on a Monday, Wednesday, or Friday as other nights of the week, Taps already has events running. An appropriate date is something we can collectively decide on as a team.
The prices are as follows, but he said that since we are a varsity team, they can be cut down once we get more planning done.
To rent out all of taps, it costs $360
This is really the only main cost to us, as this covers staff (including the kitchen).
The only other additional cost would be for a band (i.e. Matt Cays' band, etc.)
The band can either make use of its own sound system (free) or use the one at taps ($225). The disadvantage of the band using their own system is that we have to monitor the sound levels (i.e. if they're playing too loud, one of us will have to go up to the stage and tell them to be quiet due to noise level by-laws), but it is free.
The disadvantage of the taps sound technician is the cost, but then there is surround sound in the bar, and we don't have to monitor levels.
Overall, what must be understood is to have an event like this, to raise funds for the team, we must first make an investment.
Taps has a capacity of 450 people, so if we charge $5 at the door for fundraising (which is allowed), we can make ample cash for team spending, but first we must be willing to pay to rent the bar ($360) and do some publicizing.
Sorry for the long post, we will discuss this as a potential fund raising opportunity on Saturday at the pot-luck.

So if we paid nothing for the band and provided the sound equipment, we would need at least 72 people to show before we'd break even. Yikes, high stakes...
